Program Coordinator, Global Programs Department

Vital Voices seeks applicants for a Program Coordinator, Global Programs Department. The Program Coordinator will serve as a member of the new Pond’s Fellowship Program team and report to the Program Manager to provide administrative, logistical, technical, programmatic and communications support for the development, implementation and follow-up of program activities and day-to-day administration.

 

The Pond’s Fellowship supports a global network of emerging and established women leaders who put into action innovative, sustainable solutions to pressing social problems. Through both virtual and in-person activities, the Fellowship is a critical step in equipping women to respond, offering participants unique opportunities to obtain new professional resources and tools, exchange information, mentor and be mentored, and receive vital training over the course of two years tailored to meet their needs, goals and objectives.

 

The Program Coordinator is responsible for:

  • Providing administrative support including, but not limited to: processing vendor payments and staff expense reports; and managing program collateral, such as videos, photos and program materials.
  • Providing logistical support including: scheduling international travel (e.g., flights, buses, trains, accommodations, etc.); coordinating program/event management; and researching vendors for the implementation and follow-up of programs and activities both in the U.S. and internationally.
  • Providing programmatic support including:
  1. Monitoring global issues pertinent to women; leadership and mentorship; networking; and online learning and community building.
  2. Assisting with research, preparation and writing of grant proposals and funder reports.
  3. Coordinating with colleagues on program activity development and implementation (including peer mentoring; online courses; and in-person peer exchanges).
  4. Hiring and managing program interns.
  5. Participating in internal and external meetings, and giving program overviews and updates.
  6. Coordinating elements of maintenance and upkeep of the program database, activity attendance tracker and participant files; gathering, cleaning and analyzing data; developing templates; and conducting outreach for monitoring and evaluation.
  7. Tracking program expenditures, risks and issues and coordinating on budget forecasting.
  • Providing technical and communications support including:
  1. Helping manage our program website; updating program collateral; and keeping the online learning platform up to date.
  2. Monitoring and providing technical assistance for webinars and other online functions of the program including data and participant tracking.
  3. Developing online content, managing social media accounts, and contributing to program and organization blogs.
  4. Building and maintaining relationships with program participants and serving as the point of contact for at least half of the participants.
  5. Working closely with key staff to monitoring media coverage of participants and the program; and working with other departments as needed to develop member profiles, key messaging and media outreach materials.
  6. Other duties as assigned.

 

Qualifications:

  • Bachelor’s Degree required – significant coursework in international relations, management, communications or related field a plus
  • Minimum 2-3 years not-for-profit experience as Program Assistant/Associate or equivalent position
  • Specific knowledge and experience in project management, issues related to economic empowerment, human rights and advocacy, stakeholder relations and network development
  • Excellent oral and written communications skills
  • Exemplary organizational and prioritization skills, with strong attention to detail
  • Excellent research, analytical, writing and editing skills
  • Strong research and analytical skills
  • Demonstrated cultural sensitivity required
  • Ability to prioritize tasks and work in a fast-paced environment with tight deadlines
  • Consistent history of working positively and collaboratively with others inside and outside the organization, at all levels
  • Self-starter, highly motivated and proactive
  • Demonstrated maturity to work successfully in high-pressure situations with a positive attitude
  • Ability to work independently and as part of a team
  • Strong computer skills including MS Office applications, social networking platforms, database software (i.e., Salesforce, Meltwater), Google Apps
  • Basic knowledge of HTML and/or Java; Drupal website management; and photo editing a plus
  • Experience working on measurement and evaluation and budget management and analysis a plus
  • Foreign language skills a plus
  • Grant writing, proposal development and proposal leadership skills a plus

 

This position is a full-time, salaried position based in Washington, D.C. Occasional international travel will be required for the position. Vital Voices does not provide work visa sponsorship or relocation assistance for this position.
